A room-block tracking example
A couple holds 18 rooms at a downtown hotel for two nights, with a $189 nightly rate and a 30-day booking cutoff. Twelve rooms are booked after the first reminder, four are still open, and the venue shuttle leaves the hotel at 3:45 p.m. The useful planning record is the room count, cutoff, contact, booking code and transport note. It is not a reservation system: guests still book directly with the hotel, and the couple updates this private tracker when the hotel reports a new count.

Track the hotel’s facts, not guest assumptions
A room block changes only when the hotel confirms a reservation, release or extension. Record the last update date beside the count so a half-heard message does not become a planning fact. Keep the booking code, direct phone number and cutoff in the same row. That makes a guest question easier to answer accurately and gives the couple one place to check before deciding whether a reminder or a request for additional rooms is appropriate.
Make the cutoff visible early
The cutoff is the operational date that matters most, because unused rooms may be released after it. Add it to the wedding timeline and include it in the travel information you send guests. A week before the date, ask the hotel for the current booked-room count rather than inferring it from who mentioned accommodation. The tracker can flag the reminder, but it cannot reserve rooms, negotiate a rate or see an individual guest’s reservation.
Give guests a short, accurate handoff
A guest needs the hotel name, booking method, code if one exists, nightly rate as quoted, cutoff and transport information. Avoid promising availability after the cutoff or saying that a room is held for a particular person unless the hotel confirms it. Send the same concise information in the wedding website, invitation insert or message, then update the source note if the hotel changes a detail. The tracker keeps that message grounded in the current hotel record.
Separate accommodations from transportation
A room block and a shuttle are connected for guests, but they have different owners and failure points. Keep pickup time, address and contact note beside the hotel block, then place the actual departure in the day-of timeline. That separation helps a coordinator see whether a late room booking affects travel at all. It also prevents a room-count tracker from becoming a vague transport plan with no confirmed route, driver or capacity.
Check whether the block still serves the guests
If only a few rooms are booked, ask the hotel whether the remaining rooms will release automatically and whether there is a penalty or an attrition clause. Read the signed agreement rather than relying on a general etiquette rule. The tool intentionally does not interpret contracts or calculate hotel liability. Its job is to surface the dates and counts that tell you when to contact the hotel, planner or venue with a specific question.
Export a clean travel brief
For the final handoff, print or export the current block details with the hotel contact, cutoff status and confirmed shuttle note. Exclude guest addresses and payment information. A family helper can then answer practical travel questions without accessing the whole planning workspace. Keeping the file dated is useful when the hotel makes a late rate change: everyone can see which version is current instead of treating an older forwarded message as a confirmed promise.
